Inventory Control Manager

Responsibilities
HJF is seeking a Inventory Control Manager to manage the functional activities of the department responsible for the receipt and warehousing of goods, logistics of goods, and asset management of HJFMRI property and works in a cost-effective and timely manner to meet total procurement requirements at the highest possible industry standards while supervising the site’s warehouse staffs and operations at multiple locations.The position will be responsible for supplies and goods located at HJFMRI Nairobi, Kisumu and Kericho Kenya sites and Mbeya, Dar es Salaam Tanzania sites as well as other locations as assigned, and will work with the HJF Fixed Assets team on equipment related items.

  • Support multiple procurement managers in procurement planning; and regularly track and report on crucial procurement performance metrics, including progress in implementing the procurement plan, order processing, and potential supply chain disruptions.
  • Supervise the warehouse staff and their day-to-day warehouse tasks of receipt, appropriate storage, and issuance of supplies to ensure timely submission of invoices and delivery notes to accounts.
  • Creates material receiving and other logistical procedures to include the receipt, delivery to end user, maintenance schedule, disbursement of consumables, and equipment. Identify and manage potential supply chain disruptions in the assigned categories to ensure continuity of supplies and clinical and laboratory operations.
  • Ensure appropriate store layout and configuration to achieve efficient space utilization, neat and safe warehouse work environment, security of supplies, and overall efficiency in warehouse operations.
  • Oversees the segregation material for delivery or storage by program.
  • Responsible for document processing and verification of the quantity and condition of material handled; must be through and accurate to ensure type and amount of material corresponds to applicable documents and prepare delivery notes for accounts payable.
  • Receives and tags incoming equipment in accordance with established fixed assets procedures, prepares property receipt forms and inputs acquisitions data into a computerized inventory data base file. Ensures equipment updates are entered into HJF’s equipment management system Asset Panda.
  • Identify and implement supply chain best practices to optimize the department’s efficiency and effectiveness; where necessary, recommend areas of improvement to the Sr. Subcontract Manager.
  • Coordinates with the Home Office Receiving Coordinator and Sr. Fixed Assets Manager to ensure time receipt and tracking of goods and equipment from receipt to disposition.

Qualifications
Required Knowledge, Skills and Abilities

  • Strong sense of personal integrity, honesty and demonstratable priority in managing risks and ethical challenges in procurement
  • Excellent stakeholders’ management skills with ability to build effective work and supplier relationships in multi-cultures and nationalities work environment.
  • Ability to work with minimum supervision independently and within a departmental team.
  • Working knowledge of inventory management systems.
  • Results driven with strong ability in solving practical problems related to procurement and supply chain operations including international logistics.
  • Certified knowledge of Kenyan procurement law and donors’ rules and regulations on procurement. Knowledge of U.S. Uniform Guidance and Federal Acquisition Regulations as it relates to property management.
  • Excellent computer proficiency and numerical skills for report writing with a focus on procurement and inventory analytics reports.
  • Demonstratable expertise in warehouse management procedures and best practices.

Education And Experience

  • Degree in Supply Chain Management fields or a combination of Procurement, Supplies and Contract Management, Warehousing, and Logistics from a recognized institution.
  • Masters degree in related field is prefered
  • more than 10 years of Procurement/ Supply Chain Management or general administrative support in a medical research-oriented organization
  • Certification with; Kenya Institute of Supplies Management (KISM); Chartered Institute of Purchasing and Supplies (CIPS) or any internationally recognized Procurement/Supplies Management certification.

Supply Chain Officer II

  • HJFMRI is seeking a Supplies Chain Officer II to provide support in procurement and delivery of goods, services and works in a cost effective and timely manner to meet the site’s total procurement requirements at the highest possible industry standards. This position reports to the Supply Chain Manager and works closely with HJFMRI procurement, warehouse and logistics team; finance and accounts team; and contracting team.

Responsibilities

  • Define and execute the day-to-day procurement and source selection action plans, in respect to assigned procurement category(s) and requisitions, and in a timely manner create purchase orders, follow through for their approval and issue approved orders to the successful bidder(s).
  • Develop and issue bid solicitations appropriate to the selected procurement method and that provides bidders adequate information and time to allow for reasonable bid responses as well as full and fair competition.
  • Track and regularly report on key operational procurement performance metrics including progress in the implementation of procurement plan, order processing and possible supply chain disruptions.
  • Support in order expediting and the development of suppliers’ service level agreements and in conjunction with end-user ensure the contracted service providers fulfill the contracts as per agreed terms and conditions to the benefit of HJF/MRI programs.
  • Compile and/or maintain proper documentation of all procurement transactions and supplier data base, to ensure all procurement procedures and policy have been applied and all supporting documentation is provided in respect to all matters procurement, service level agreements, suppliers listings and supplier appraisals.
  • As per HJFMRI relevant policy and procurement procedures support users in specification development and participate in evaluation of supply sources, products, prices, and services to ensure approved purchases are of high quality and cost effective
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include supporting in supervision of other team members, attendance of and participation in required training and meetings for the role.

Director, Global Human Resources 

Responsibilities

  • Provide HR leadership to HJFMRI’s portfolio leadership as it relates to human resources programs and policies, often encompassing several areas of human resources, including organizational development, employee relations, recruiting, compensation, benefits, performance management, and training.

Qualifications
Education and Experience

  • Bachelor’s Degree in Human Resources, International Relations or another business-related field.
  • 10-15 years of Human Resources experience in direct relation to global human resources activity. Willing to consider Master’s Degree with 8+ years of experience.
