Communications & Marketing Officer

JOB PURPOSE

  • The purpose of the Communications and Marketing Officer role is to contribute to the development and implementation of the overall RefuSHE communications, marketing, and external relations strategy, develop organizational marketing materials, editorial content, and program-related communications, and manage all photography and video projects and media relationships in Kenya. This position reports to the Chief Fundraising Officer.

KEY RESPONSIBILITIES

  • Work in partnership with the US-based Senior Director of Brand Strategy and External Relations, to design, develop, and implement a communications, marketing, and external relations strategy to advance RefuSHE’s mission.
  • Design and develop organizational marketing materials, including brochures, impact reports, blogs, articles, thought pieces, videos, graphics, and photos.
  • Develop editorial content for posting and promotion across various digital platforms including Facebook, Instagram, Twitter, LinkedIn, website, and Mailchimp.
  • Support programs in the evaluation of communications and documentation needs, and development of communications budgets and annual work plans.
  • Develop and build-out processes to share communication updates between the U.S. and Kenya offices regularly.
  • Provide programmatic updates and needs to incorporate into communication pieces throughout the year for campaigns, events, blogs, media, etc.
  • Collaborate directly with the Senior Director of Brand Strategy and External Relations on campaign communications, especially as they relate to capital and programmatic fundraising.
  • Work closely with the Program Managers to recognize each program’s story, craft the narrative, and prepare materials accordingly.
  • Train the Programs Team on storytelling techniques and how to produce effective communication pieces.
  • Craft ideas, messaging, and talking points for external use, to solidify strategic partnerships, especially across East Africa.
  • Identify and manage relationships in traditional and non-traditional spaces for RefuSHE to promote its story.
  • Design, develop, and launch communications plans and print and media outputs for fundraising campaigns that match the organization’s overall business development goals.
  • Oversee all video and photography production for capturing of program activities in Kenya.
  • Oversee all media relations in Kenya, including cultivating relationships with journalists, writing press releases, and coordinating interviews.
  • Act as the primary point of contact for all on-campus events in Nairobi; communicate and coordinate with the Executive and Programs Teams to ensure all events and public relations visits run smoothly.
  • Stay abreast of changes in the global and national refugee landscape so that RefuSHE can publish timely content and serve as a thought leader in this space.
  • Collaborate with the Artisan Collective team to create marketing content for new and existing products.

EDUCATION REQUIREMENTS

  • Bachelor’s degree in digital marketing, communications, information technology, journalism, or related field; master’s degree is desirable.

RELATED EXPERIENCE/ QUALIFICATIONS

  • 3 years of experience in content development, marketing, and media relations.
  • Experience working for a global non-profit preferred.
  • Experience working with at-risk populations is a plus.

TECHNICAL & BEHAVIORAL SKILLS

  • Professional-level fluency in English, with outstanding writing and editing skills, including a strong ability to turn data and numbers into concise and compelling narratives.
  • Administrator-level knowledge of content development, email marketing, and social media management systems.
  • Strong knowledge and demonstrated use of social media and other communications channels to engage and deepen relationships with the media and public.
  • Understanding and proficiency in SEO (Search Engine Optimization) and Funnel Marketing.
  • Strong networks with local and international media organizations and experience designing and developing press releases.
  • Ability to work collaboratively with diverse staff across teams and time zones.
  • Extraordinary attention to detail and ability to meet tight deadlines.
  • Knowledge of audience analytics and/or experience with assessing campaigns and/or social media posts is preferred.
  • Experience creating short-form videos and podcasts is desirable.
  • Professional photography and/or graphic design skills are desirable.
  • Demonstrated public relations and event coordination experience is a plus.

M&E Assistant

JOB PURPOSE

  • The purpose of the Monitoring and Evaluation Assistant role is to measure the outputs, outcomes and impact of RefuSHE’s holistic model and support the M&E Manager to enhance organizational M&E systems, contributing to evidence-based decision-making and continuous improvement. The position reports to the Monitoring & Evaluation Manager.

KEY RESPONSIBILITIES

  • In collaboration with the M&E Manager and program team, develop data collection tools for RefuSHE’s holistic programming.
  • Assist in the collection of quantitative and qualitative data through surveys, interviews, and focus group discussions.
  • Ensure accurate and timely entry of data into the organization’s monitoring and evaluation system.
  • Analyze quantitative and qualitative data from programs and synthesize findings into well-written English for internal and external reports and presentations.
  • Lead the onboarding of new staff members to RefuSHE’s M&E software, ActivityInfo; stay apprised of newly developed software features; and provide ongoing training to staff on ActivityInfo’s functionality.
  • Participate in training sessions and workshops related to monitoring and evaluation best practices.
  • Track the progress of outputs and outcomes against targets, and flag to the M&E Manager in advance potential risks of not achieving intended program outcomes and targets.
  • Lead the updating of RefuSHE’s M&E plan in collaboration with the M&E Manager
  • Support in the reporting of program data and progress against indicators for all donor reports.
  • Support the development of program and proposal M&E plans, including SMART indicators, baselines, and achievable and ambitious targets.
  • Facilitate greater understanding of M&E among program team staff by providing troubleshooting and advice as questions, challenges, and new needs emerge.
  • Ensure all data collection activities are conducted through a trauma-informed lens, and are sensitive to the diverse backgrounds and unique experiences of the refugee young women and girls participating in RefuSHE programs.
  • Ensure the utmost confidentiality and security of data collected and that data collection, storage, and reporting activities are compliant with Kenya’s Data Protection Act and RefuSHE’s status as a registered Data Controller.

EDUCATION REQUIREMENTS

  • Bachelor’s Degree in monitoring and evaluation, development studies, economics, or other related studies from a recognized institution.
  • Excellent command of English and Kiswahili, both spoken and written.

RELATED EXPERIENCE/ QUALIFICATIONS

  • This is an entry-level position hence no previous formal work experience is required. However, the successful candidate will be able to demonstrate a strong interest in M&E and assessment of programmatic impacts. Volunteer/intern level experience preferred.

Operations Coordinator

JOB PURPOSE:

  • The purpose of the Operations Coordinator role is to oversee office facilities, fixed assets, logistics, ICT, procurement processes, security, and safety for all RefuSHE premises, and their respective compliance-related aspects. The role will also ensure that RefuSHE annual and project procurement plans are executed efficiently and cost-effectively by providing logistical and other operational support to all departments in RefuSHE. The position reports to the Chief Finance & Operations Officer

KEY RESPONSIBILITIES

Facilities, fixed assets, logistics and ICT

  • Oversee operations of the Nairobi physical office spaces (main campus, satellite office, and safe house) including maintenance of the training rooms, kitchens, and general workspaces.
  • Manage office utilities and services including electricity, water, gas, generators, waste collection, and recycling.
  • Manage internal controls and security systems to safeguard all RefuSHE’s assets.
  • Ensure compliance with all facility-related regulatory requirements & renewals such as licenses, and inspections.
  • In coordination with the Finance and Administration Departments, establish and maintain complete inventory, accountability, and insurance coverage for all organizational assets. This includes asset tagging and disposal.
  • Manage the RefuSHE vehicle fleet, ensuring the appropriate allocation and safe use of vehicles for official staff travel, and adherence to servicing and maintenance schedules.
  • Manage service level agreements for maintenance of office equipment & ICT systems, ensuring the functionality of all systems in use, including internet stability, and scheduled preventative maintenance of equipment such as printers and copiers.
  • Ensure cybersecurity measures are instituted as per best industry practice.
  • Review policies and processes across the organization to improve operational performance in facilities, logistics, ICT, procurement and stores, and security management.
  • With the support of the Executive team, assess currently used systems & technology to ensure productivity, improve system design, plan for new systems as needed, and support their successful implementation.
  • Coordinate with the US office for joint system integration and standardize processes between the US and Kenya as much as possible.

Procurement and stores management

  • Ensure timely procurement and delivery of supplies to support all supplies needs of RefuSHE departments whilst ensuring value for money.
  • Manage on-site and off-site storage of program and departmental supplies through the application of stores management best practices.
  • Lead the process of developing and monitoring adherence to annual procurement plans.
  • Chair the Procurement Committee for RefuSHE Kenya for procurement of various goods and services.
  • Maintain a repository of all contracts with third parties, ensuring renewals are completed on time, any amendments are duly approved, and the filing system is updated.
  • Maintain a prequalified list of suppliers and manage vendor relationships including vendor appraisals.
  • Ensure the integrity of the procurement system in Kenya and escalate any potential or actual breaches to the Executive Team.

Security & Safety

  • Liaise with the Executive Team to keep RefuSHE’s Security Plan up to date.
  • Liaise with the contracted security company to ensure compliance with, and effective application of, security guidelines.
  • Oversee the outsourced security guards and alarm system ensuring service delivery is as per contracted terms.
  • Monitor security camera footage of the main campus office.
  • Conduct security briefings for US staff before traveling and serve as an emergency contact person for US staff during field visits to Kenya.
  • Maintain a warden system to be activated in times of crisis for both staff and program participants.
  • Serve as a member of various safety/security-related committees as called upon.

Staff supervision

  • Manage, mentor, and provide leadership to the Procurement Officer, ICT Officer, and Logistics staff.
  • Recommend changes to the operational team composition and functioning in the Kenya Office to maximize program quality and effectiveness.

EDUCATION REQUIREMENTS

  • Certified Procurement and Supply Professional (KISM License number and CIPS membership number should be indicated on the CV).
  • Bachelor’s degree in business administration, logistics, supply chain management, or other relevant field.
  • Master’s degree in a relevant field is desirable.

RELATED EXPERIENCE/ QUALIFICATIONS

  • Prior experience of at least 5 years working in operations with strength in logistics/supply chain/ function.
  • ERP systems workflow knowledge.

TECHNICAL & BEHAVIORAL SKILLS

  • Comprehensive knowledge of operational processes and procedures.
  • A drive and passion for continual improvement and operational excellence.
  • Capacity to liaise between and understand competing demands and constraints of programs, administration, and operational teams.
