Business Support Assistant, SC2

ORGANIZATIONAL CONTEXT

  • This job is based in the Kenya Country Office and the job holder will be based in our Kakuma Sub Office.
  • The job holder will be required to provide administrative and programmatic support to the Kakuma team and support a specific business stream and will report to a Programme Associate.
  • At this level, work is carried out under close supervision and job holders are expected to produce organized and accurate work with regular and close contact and communication with the beneficiaries. 

KEY ACCOUNTABILITIES (not all-inclusive)

  • Collect, sort and disseminate correspondence, reports and other materials, to meet the required demands of staff to time standards.
  • Respond to simple routine queries with readily available support by senior staff, and escalate where appropriate, in order to provide a timely and accurate response to enquiries.
  • Support the maintenance of office files, documents and records in accordance with established systems and processes, so that information is current and readily available for staff.
  • Undertake standard data entry tasks in accordance with defined systems, to ensure information is organised and readily available.
  • Assist in creating simple images or information using standardised templates, such as graphs or tables to support the drafting of reports for staff.

Knowledge & Skills:

  • Ability to use standard office equipment such as photocopiers and scanners.
  • Ability to follow standard business support processes and procedures.
  • Knowledge of standard office software packages, e.g. Microsoft word, Excel.
  • Ability to provide information using courtesy and tact.
  • Good attention to details.
  • Good client orientation and communication skills

  • Education: Completion of secondary school education.
  • Experience: Two or more years of experience in general administrative work.

Deduplication and Biometric Adjudication Operator, SC5

BACKGROUND

  • Under the overall responsibility of the Business Transformation Assistance, the incumbent is expected to deliver and complete a wide range of deduplication and biometric adjudication operations support duties as detailed below: –

KEY ACCOUNTABILITIES (not all-inclusive)
Adjudication: 

  •  Adjudicate potential biometric duplicates via the deduplication engine. 
  •  Perform comparisons between biodata and biometric data (photos, fingerprints, or iris) of potential duplicates. 
  •  Make adjudication decision by marking identities as either unique, duplicate, or undecided. 
  •  Perform adjudication decisions in line with CO timeline and location requirements. 
  •  Ensure adjudication decisions made are accurate. 
  •  Submit timely reports. 

Deduplication: 

  •  Identify and Analyse duplicate biometric identities on WFP SCOPE platform and advise if the duplicates can be removed through a script or manual deduplication.
  •  Analyse individual identities and household records captured during biometric registration that have been marked as duplicates in single or multiple locations. Noting to incorporate the nature of interventions, the timelines of the registration and the roles of the duplicates. 
  •  Make decision on duplicate identities in SCOPE while factoring in any protection issues that may arise in line with the developed SOP. Also, perform deduplication decision in line with CO timeline and location requirements.
  •  Ensure proper documentation of identities that have been actioned upon. This includes documents that have either been deleted or edited. 
  •  Submit timely reports of all cases handled while regularly consulting on emerging patterns to ensure that there is uniformity in decision making.  
  •  Training on standardized reporting, data analysis and cleaning
  •  Suggest improvements to methods and processes to support the continuous improvement of the process.
  •  Perform any other duties as required. 

STANDARD MINIMUM QUALIFICATIONS

  • Education: Completion of secondary school education preferably supplemented by courses in a field related to information technology and data.
  • Experience: Experience in data analysis with excel and governance 
  • Language: Proficiency in English
