Office Assistant

About the Role

  • The Office Assistant will perform a variety of administrative and clerical tasks. Duties include providing support to managers and employees, assisting in daily office needs and managing the organization’s general administrative activities. This role will be offered on a two(2) year fixed term contract, subject to availability of funding and will be based in Nairobi, Kenya.

Key Responsibilities include

  • Organizes and manages the meeting rooms prior to any meetings being held.
  • Collaborate with the Office Administrator on all the hospitality and catering services in the office e.g. preparing office tea and snacks for the staff and the guests.
  • Assist the Senior Administrative Assistant in postage and shipment services.
  • Responsible for cleanliness of the office environment, including working hours, desks, washrooms, windows etc.
  • Collaborate with the Senior Administrative Assistant to ensure operation of office equipment by completing preventive maintenance requirements; escalates issues for repairs; maintaining equipment inventories.

About you

  • The ideal candidate should have demonstrated office assistant work experience in other organisations in both the private and NGO sector. You should be able carry out various administrative tasks and possess a  high sense of responsibility, courtesy, and the ability to work with people from different nationalities and cultural backgrounds.
  • The position holder should possess basic administrative skills and flexible to work outside the working hours.
  • You should have a minimum O-Level certificate

Head of Procurement

About the Role

  • The Head of Procurement will be responsible for the design and execution of GAIN’s procurement policy and practice.
  • The Post-holder will design, establish and manage the procurement function at GAIN. The post-holder will provide strategic leadership and oversight of GAINs procurement needs to ensure that we meet and exceed our commitment to building transparent, standardized, ethical and safe practices that provide value for money.
  • The Post-holder will identify opportunities for improvement especially if these enable procurement to be completed more rapidly with no loss of rigour.
  • The Post-holder will review our current arrangements and revise these where necessary; create and maintain KPIs initiating correcting action as appropriate; create new policies and practices; train staff and strengthen organizational capacity; and bring best practice and industry standards to GAIN.
  • The successful candidate will support value for money and effectiveness in GAIN’s procurement and related budgeting and expenditure; support effective planning for major procurements; ensure strong impact and effectiveness controls through a robust set of policies, relevant metrics and their management.

Key Responsibilities include

  • Create and implement a procurement strategy, policy and plan aligned to global and country procurement priorities with the aim of delivering value for money to our donors, quality goods and services to our programmes and projects, while delivering our operational KPIs.
  • Oversee the review and implementation of GAINs Global Procurement policy and associated procurement procedures, ensuring that these comply with good practice and with the requirements of our donors. This will include identifying roles and responsibilities for sourcing categories of goods and services; updating these as necessary; ensuring they reflect best practice for the INGO sector; and ensuring compliance.
  • Oversee GAINs major procurements, supporting the staff directly involved and participating in tender panels as necessary.
  • Drive the process of improving, streamlining, and standardising procurement systems, tools and practices, in close collaboration with colleagues.

About You 

  • The successful candidate will have an extensive background within the Procurement sector in a leadership position. The ability to influence and communicate with internal and external stakeholders will be a key part of this role.
  • You will have the ability to implement procurement strategies whilst ensuring that GAIN is using the most efficient and cost effective processes.
  • You will have up to date knowledge of specialist knowledge, legislation and best practice relevant to the Procurement industry. 
  • The successful candidate will have excellent I.T. skills with the capability of using software packages such as Salesforce, SAP, and Oracle.
