LogTech Coordinator

Specific Objectives

Role of technical advisor

Under the supervision of the Head of Technical Support and in close collaboration with the technical support service:

  • Technical support to the operations in the domains of Energy, Fleet Management and HVAC, with the aim to reduce the organisation’s environmental footprint 
  • R&D: Development / selection / adoption of technologies or practices aiming at footprint reduction 
  • In collaboration with the technical referents, functional supervision of the flyings and STR (regional technical support) in his domain
  • Participates to international platforms in his domain 
  • Participates to internal OCG platforms
  • Facilitates the transfer of skills and knowledge between sections, from HQ to the field and vice versa.

Role of coordinator

  • Under the supervision of Head of Operational Logistics and in close collaboration with the operational logistics service, the LogTech Planetary Health Coordinator coordinates monitors and supervises the implementation of actions in the field.

Exigences

Education

  • Engineering degree in a relevant field

Experience

  • Knowledge of the MSF organization at HQ and in the field, or a similar organization, is an asset

Languages

  • Fluent in French and English

Executive Assistant

Key accountabilities and Responsibilities:

  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
  • Maintaining comprehensive and accurate records.
  • Performing minor accounting duties.
  • Organizing meetings, taking notes, writing minutes, including scheduling, sending reminders, and organizing catering when necessary.
  • Collecting data/information for regular reporting.
  • Engaging with external relevant actors to organize GD’s meetings.
  • Answering phone calls in a polite and professional manner.
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department.
  • Working on the Terms of Reference (ToR’s) for GD’s field/visits.
  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
  • Handling any other task delegated by the GD.

SELECTION CRITERIA

Qualifications & competencies Required

  • Post-Secondary education and HR/Administrative qualifications (minimum Diploma) or/and related studies essential
  • At least 2 years’ experience in a similar job, preferable in the non-profit making sector.
  • Fluent in English & Swahili. Knowledge of French language is an asset.
  • Previous experience with MSF or other humanitarian NGOs is considered a plus.

Executive Manager

Key accountabilities and Responsibilities:

  • Responsible for leading the process of designing, implementing, monitoring, analysing and reporting of the Strategic Plan, Annual Plan and other internal and international control cycles.
  • Supporting other areas of Reporting and decision-making processes with the Management Team.
  • Support with the organization of specific projects (i.e Scientific Days and Medical Innovation initiatives) that are linked to strategic advocacy and medical initiatives of MSF EA.
  • Responsible for following up MSF EA dossiers as assigned and support the executive office.
  • Responsible for office and infrastructure running.
  • Support with external and internal representation and networking of MSF EA.
  • Responsible for monitoring, evaluating and analyzing the SP from time to time.
  • Responsible for the organisation and administration of projects and major events.
  • Responsible for the MSF EA Office, security and infrastructure management.
  • Responsible for Information Management for MSF EA

SELECTION CRITERIA

Qualifications & competencies Required

  • Master’s in administration/International relations/communication or equivalent discipline.
  • Excellent planner, organizer, coordinator and administrator.
  • Affinity and experience with Information Management.
  • Punctual, pro-active and stress resistant.
  • Very good communication, representation & networking abilities.
  • High level of integrity and sound judgement.
  • Interest in the humanitarian sector.
  • Result and Quality Orientation.
  • Initiative and independence combined with the ability to work well as part of a team
  • Excellent knowledge of written & spoken English. Good command of French is an important asset.

Desirable experience

  • Minimum 5 years of experience in senior management, coordination and/or administrative roles.
  • MSF or similar iNGO experience is desirable.
  • High level of understanding of organizational issues. Understanding of the MSF working environment is an asset.
  • Experience in project management.
