Responsibilities

Duties and responsibilities at this level will entail:-

  • Taking oral dictation.
  • Word and data processing.
  • Managing e-offices
  • Operating office equipment
  • Handling telephone calls and appointments
  • Attending to visitors/clients
  • Maintaining office diary and travel itineraries
  • Establishing and monitoring procedures for record keeping of correspondence and file movements
  • Maintaining an up to data filing system in the office
  • Managing office protocol
  • Ensuring security of office records, equipments and documents including classifying materials supervising of office cleanliness, managing petty cash and undertaking any other office administrative services duties that may assigned.

Job Requirements

For appointment for this grade, an officer must have:

  • Served in the grade of Assistant Office Administrator II or Office Administrative Assistant I for a minimum period of three (3) years.
  • Diploma in Secretarial Studies from a Kenya National Examinations Council;

OR

  • Business Education Single and Group Certificates (BES &GC) from the Kenya National Examinations Council in the following subjects:-
  • Shorthand III (minimum 80w.p.m.)
  • Typewriting III (50w.p.m) Computerized Document Processing III;
  • Office Management III /Office Administration and Management III
  • Business English III /Communications II;
  • Secretarial Duties II;
  • Office Practice II;
  • Commerce II;
  • Certificate in Public Relations and Customer Care Course lasting not less than two (2) weeks from the Kenya School of Government or any other government training institution;
  • Certificate in Computer applications from a recognized institution; and
  • Shown merit and ability as reflected in work performance and results.

We are looking for an experienced Administration Manager to supervise daily support operations of our company and plan the most efficient administrative procedures.

A great administration manager has excellent communication and organizational skills. The ideal candidate will be well-versed in departmental procedures and policies and will be able to actively discover new ways to do the job more efficiently.

Job Responsibilities

  •  Plan and coordinate administrative procedures and systems and devise ways to streamline processes
  •  Recruit and train personnel and allocate responsibilities and office space
  •  Assess staff performance and provide coaching and guidance to ensure maximum efficiency
  •  Ensure the smooth and adequate flow of information within the company to facilitate other business operations
  •  Manage schedules and deadlines
  •  Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
