Assistant Supply Chain Management Officer – 2 Positions

ASSISTANT SUPPLY CHAIN MANAGEMENT OFFICER (GRADE NTSA 9) – REF NTSA/07/2023/27

  • The office holder will be responsible to the Principal Supply Chain Management Officer, for planning, organizing, administration and control of activities in the department.

Key Duties and Responsibilities

  •  Receiving, issuing and distribution of goods and services;
  •  Ensure proper stock control and inventory management;
  •  Conduct stock reconciliation;
  •  Preparation and maintenance of records of purchases pricing and other important data;
  •  Coordinate opening and evaluation of tenders and quotations;
  •  Conduct market surveys and research;
  •  Assisting in preparation of annual procurement plans and supply chain management reports;
  •  Undertaking any other duties that may be assigned.

Qualifications, Skills and Experience

  •  Kenya Certificate of Secondary Education (KCSE) mean grade C- (Minus) or its equivalent qualification from the Kenya National Examination Council (KNEC);
  •  Diploma in Procurement & Supply Chain Management (Level 4 CIPS) or foundation Diploma (Level 1 KISEB);
  •  Degree in Procurement and Supply Chain Management or in any of the following disciplines:
  •  Business Management/Administration (Supplies Management Option), Economics,
  •  Statistics, Law from a recognized institution is an added advantage;
  •  Currently working as a Senior Clerk and /or Officer;
  •  Must be a Full Member of Kenya Institute of Supplies Management (KISM) is an added advantage;
  •  Computer Proficiency;
  •  Experience in procurement will be an added advantage; and
  •  Team player with excellent interpersonal skills.

Assistant Office Administrator – 3 Positions

ASSISTANT OFFICE ADMINISTRATOR (GRADE NTSA 9) – REF: NTSA/07/2023/28

  • The position holder will be deployed to work in the office of a Deputy Director and will be responsible for day to day administrative services of the office.

Key Duties and Responsibilities

  •  Taking oral dictation and transcribing in typed form;
  •  Word and data processing from manuscripts;
  •  Managing e-office;
  •  providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications;
  •  Maintaining comprehensive and accurate records;
  •  Performing minor accounting duties;
  •  Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary;
  •  Answering phone calls in a polite and professional manner;
  •  Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department;
  •  Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters;
  •  Operating office equipment;
  •  Managing office protocol;
  •  Managing office petty cash;
  •  Supervising office cleanliness;
  •  Undertaking any other office administrative services duties that may be assigned.

Qualifications, Skills and Experience

  •  Diploma in Secretarial Studies or in any of the following disciplines: – Business Management/Administration and or management related courses from a recognized institution.

OR

  • Business Education Single and Group Certificates (BES & GC) from Kenya National Examinations Council/Pitman in the following subjects:
    • Typewriting III (50 w.p.m)/Computerized document processing III
    • Shorthand II (80 w.p.m)
    • Business English II/Communications I
    • Office Practice II
    • Secretarial Duties II
    • Commerce II
    • Office Management III/Office Administration and Management III
  •  Computer Proficiency;
  •  Degree in Business Management is an added advantage; and
  •  Excellent written and verbal communication skills, highly organized with good time management skills, and excellent interpersonal skills.

Information Communication Technology Officer II – 3 Positions

INFORMATION COMMUNICATION TECHNOLOGY OFFICER II (GRADE NTSA 8) – REF: NTSA/07/2023/29

  • The office holders will be responsible to the Principal ICT Officer for provision of support to NTSA staff in their use of ICT resources. The officers will also be responsible for responding to requests relating to hardware, software and telecommunications in the Authority.

Key Duties and Responsibilities

  •  Installation and configuration of computer hardware, operating systems and applications;
  •  Monitoring and maintaining computer systems and networks;
  •  Support users in TIMS and ERP functionality for improved business results and improved client services;
  •  Assist in the production and maintenance of documentation relating to the Authority’s ICT systems;
  •  Assist in the administration of the Authority’s communication systems including mobile phones, internet connection and telephone system;
  •  Provide assistance in backup and restoration procedures for local drives, maintenance of backup logs, and organization of off-site storage of backups;
  •  Maintenance of an up-to-date inventory of software and hardware and a library of ICT related reference materials;
  •  Quick and competent diagnosis of system faults and resolution or escalation when required;

  •  Bachelor’s degree in Computer Science, Information Communication Technology, or related qualification from a recognized institution;

Motor Vehicle Inspector II – 2 Positions

MOTOR VEHICLE INSPECTOR II (GRADE NTSA 8) – REF: NTSA/07/2023/30

  • The Job holder is responsible to a Principal Motor Vehicle Inspector for Inspection of motor vehicles to ascertain their roadworthiness.

Key Duties and Responsibilities

  •  Verification of vehicle inspection documents;
  •  Inspect and test of vehicles;
  •  Issuing stickers to compliant vehicles;
  •  Data entry of inspection results into the system;
  •  Prepare inspection reports and forwarding to the Principal Motor Vehicle Inspector for review;
  •  Affixing of the roadworthiness certificate/validation of inspection results into the RFID;
  •  Preparation and issuing of prohibition orders;
  •  Conduct motor vehicle accident investigations and prepare the reports; and
  •  Superintending on assistant inspectors and interns at the inspection centre.

Qualifications, Skills and Experience

  •  Bachelor’s degree in Mechanical Engineering/Automotive Engineering or a related field from a recognized institution;
  •  Computer proficiency;
  •  A valid Driving License free from any current endorsements;
  •  Team player with excellent interpersonal skills, analytical skills, communication skills, computing skills and report writing skills.
  •  Any other qualifications relevant to the Motor Vehicle Inspection function, as may be approved by the Board of Directors
