Supply Chain Officer

Overall purpose of the role: 

  • The Supply Chain Officer main objective is to provide efficient and effective procurement implementation and smooth running of procurement, asset and inventory management operations according to DRC’s internal and donor procedures, as per the Operations Handbook prescribed Quality Standards.

Duties & Responsibilities: Responsibilities: 
Procurement

  • Carries out procurement in compliance with DRC and relevant external rules/regulations in a timely manner with a value-for-money lens and with a high level of integrity; ensuring all procurements are thoroughly documented and properly archived and that items are received in good time and meet requestor specification
  • Execute purchase requisitions by sending request for quotations, receiving bids, analyzing and raising of purchase orders and/or preparing service contracts and follow up on deliveries of orders with suppliers
  • Ensure that the physical and electronic filing/archiving of all procurements is properly maintained.
  • Ensure close tracking of all service contracts issued by the country programme including office/compound lease agreements, security services contracts, Internet Service Providers, Vehicle & Asset Insurances
  • Manages all import/export issues; ensures lessons and feedback from procurements are documented and acted on.
  • Support in the analysis of market prices for establishment of the Kenya Program Price List
  • Support in ensuring documented adherence to procurement plans in assigned DRC KE locations in close liaison with relevant managers 
  • Assist in reviewing payment documents, raising and processing payment requests of procurements for assigned locations
  • Take lead in sharing Procurement Status Report (PSR) for assigned locations referencing DRC Dynamics PowerBi and other related procurement reports

Asset & Inventory Management

  • Ensures DRC stores/warehouses and stock in assigned locations are managed according to DRC policies and items are disposed of as per DRC and donor rules/regulations. 
  • Ensure that procured stocks are received, registered, and dispatched in an efficient and accountable manner.
  • Ensure that the filing system of records of all stock movements are documented for rigorous archiving when required for audit
  • Conduct physical stock checks periodically in assigned locations and liaise with responsible SC officer to investigates discrepancies.
  • Support the establishment/decommissioning of DRC warehouses; ensures adherence to warehouse safety standards including insurance.
  • Support in receiving in-transit supplies from vendors and raise relevant documents, check and count incoming stock and reconcile it with requisitions and purchase orders before dispatching to the relevant field offices
  • Responsible for accurate assets registration, tracking, tagging, and archiving of asset lists/registers and in DRC Dynamics
  • In collaboration with field based SCOs, ensure appropriate documentation of all assets in the field and report any damage.
  • Bi-annually, conduct a physical verification of all assets in the Assets Register to ensure that all asset inventory is tagged, recorded and reported to management in accordance with DRC’s guidelines.
  • Oversees repair/maintenance of office assets, equipment and machines as needed.
  • Any other duties as agreed with the HoSS

Experience and technical competencies: 

  • At least 5 years of experience in humanitarian Logistics/Supply Chain management
  • Proven experience supporting the implementation of large-scale programs in INGOs.
  • High integrity, pro-active, stable, robust character and a good team-player
  • Highly motivated, results-oriented, and with well-developed problem-solving skills
  • Ability to cope with heavy workloads and to work under pressure to meet tight deadlines
  • Excellent communication skills
  • Excellent analytical and negotiation skills

  • Experience working with ERP systems will be an added advantage

Education

  • Degree in Business Management/Administration/Supply Chain or Procurement management.
  • CIPS certification is considered an asset

  • Fluency in written and spoken English and Kiswahili

Overall purpose of the role: 

  • Under the direct supervision of the Economic Recovery Officer; the Community Engagement Facilitator will play an important role in the accountability and transparency of contributing to the implementation of the SIDA funded Supporting Displacement-Affected Communities in Kenya with Entrepreneurship Development (SDACKED) project activities in the DRC Urban Program. Also, to support community engagement efforts, in line with the organization’s strategy which seeks to assist refugees and the displaced persons to protect their rights and financially empower them towards a better future. 
  • The role will include activities related to awareness-raising of DRC Urban Program work, outreach, promote community participation and feedback in all stages of project implementation as well as support to enhance community/enterprises \ capacities/ initiatives under the technical guidance of the Economic Recovery Officer and share recommendations on how to better integrate community engagement strategies between DRC Urban projects and organizational sectors for purposes of ensuring DRC Urban Program and its stakeholders agenda are met.

Duties & Responsibilities: Responsibilities: 

  • Conduct outreach to target communities served by DRC Urban Program as well as mobilize them to participate in project planning, financial inclusion (Village Savings & Loans Associations) and other project partner driven activities. 
  • Contribute to strengthen DRC Urban Program community engagement strategies by providing recommendations to the supervisor.
  • Maintain networks with community leaders to ensure targeting is appropriately done in an accountable and transparent manner.  
  • Provide feedback to DRC as received from the community including identified gaps and community emerging needs including recommendations for appropriate action.
  • Coordination and representation of DRC in Urban refugee forums when called upon by the supervisor.
  • Ensure CHS standards are mainstreamed throughout the project cycle. 
  • Assist in participatory needs assessments with a focus on DRC’s sectoral objectives if and when planned/or conducted.
  • Monitor the progress of beneficiaries supported and prepare monitoring/implementation reports. 
  • Ensure proper documentation (relevant reports as required by the project) and as per the DRC data protection guidelines or policy. 
  • Constantly gather relevant and vital information to the Urban Program work and share such with immediate supervisor for reflection and appropriate programmatic action.
  • Identify, cultivate relationships and coordinate with fellow Community Engagement Facilitators or outreach officers either in DRC Urban Program or other agencies working in similar context as DRC.
  • Perform any other duties by the supervisor as aligned or relevant to DRC’s community engagement work.

Experience and technical competencies: 

  • 1 years’ experience working within urban refugees or urban community context.
  • Working knowledge of the Village Savings & Loans Associations or any other informal lending processes in the urban context.
  • Working knowledge of Protection issues around urban refugees.
  • Skillful and diplomatic in networking with communities and local authorities as well as partners in urban refugee environment.
  • Must have good work ethic and personal integrity.
  • Possess good written and spoken communication skills.
  • Possess basic computer skills.
  • Good team player and able to take direction and work collaboratively with others. 
  • Able to complete required work within the set deadlines. 
  • Able to maintain the highest levels of confidentiality.

Economic Recovery Assistant – Agronomist

Overall purpose of the role: 

  • The Economic Recovery Assistant – Agronomist will be collaborating with farmers and crop researchers to conduct a detailed analysis of crop data. He/She will be expected to maintain a deep understanding of soil productivity principles and keep tabs on the latest trends and technologies in agronomy. Success in this role will be determined by providing valuable insights that lead to solutions that drive higher crop yields

Duties & Responsibilities: Responsibilities:
 
Project management and development: 

  • Conduct soil, seed, and crop sampling using appropriate protocols and review data to inform decision-making processes.
  • Provide technical support to farmer groups, fodder and woodlot producers to improve crop production and pasture management.
  • Preparing and managing plans for crop improvement and enhanced production
  • Designing and coordinating land development projects for dryland agriculture and agro-forestry
  • Development and management of fruits, crops, and vegetable farms as wells pasture and greenbelt/woodlot establishments
  • Plant treatment and green space management (agricultural, forests and rural environments)
  • Conduct laboratory testing of plants, soils, seeds, and agri-food products
  • Assist in obtaining agricultural, agri-food, livestock, forestry, and environmental quality certifications.
  • Safeguarding environmental sustainability, safety and quality
  • Carrying out land-use planning in accordance with applicable legislation

Monitoring and reporting

  • Conducting FGDs for both men and women in the targeted projects areas regarding fodder production, indigenous trees nurturing, farming techniques preferences and associated challenges and lesson learnt.  
  • Sending weekly/monthly updates on water resource management related interventions on a regular basis and accomplished milestone relating to environmental conservation initiatives and modern farming techniques 
  • Support needs assessment and propose new ideas to improve farming techniques 
  • Review learnings on water resource management activities and report to your supervisor
  • Based on need basis support the team leader(s) to prepare the donor reports

Planning and budgeting

  • Prepare activity budgets and submit to the Team Leader(s) to ensure project activities are carried on time.
  • Prepare weekly, monthly and quarterly plans and share with your supervisor with the aim of implementing them
  • Perform other duties as assigned by the supervisor.

Experience and technical competencies: 

  • Minimum 2 years’ experience in a similar role
  • In-depth knowledge of soil and crop principles
  • Strong knowledge of agricultural practices, crop production, pasture management, and environmental sustainability.
  • Experience with land-use planning and agro-forestry.
  • Proficient in MS Office
  • Outstanding research and analytical skills
  • Effective written and verbal communication skills 
  • Possess coping skills and the ability to function under pressure.
  • Ability to conduct knowledge transfer and effective training facilitation abilities/skills 
  • Sound experience in planning and leading training sessions for refugees and host communities.

Education

  • Bachelor’s degree in Agronomy, Agriculture, Agribusiness, Horticulture or a related field from a recognized institution or a related diploma
