Executive Assistant

Brief Description        

The Job holder will beresponsible for professionally running of the office of Chief Finance Officer.Act as first point of contact for external and internal stake holders. Managethe office and calendar of the Chief Finance Officer and provide efficient andeffective administration services.

Detailed Description        

Principal Accountabilities (Responsibility)

  • Managing confidential data and files ensuring only authorized persons have access.
  • Controls the diary for the Chief Finance Officer by scheduling meetings and appointments.
  • Preparing official correspondences for the Office of Chief Finance Officer.
  • Assist in organizing Products launches, e.g., Expos/staff forums.
  • Draw the administration expense budget and ensure utilization is within the set budget and lead cost control for the office.
  • Attend and take minutes in scheduled meetings.
  • Ensure CFO is equipped with necessary documentation to proceed with meetings.
  • Ensure timely scheduling of meetings for both internal staff and external parties.
  • Compile minutes during top management meetings and follow up for actions.
  • Liaise with various key stakeholders to resolve queries/complaints raised by both internal and external clients as well as suppliers.
  • Manage any outstanding/ escalated issues that affect the business.
  • Monitor, analyze and recommend solutions to resolve issues.
  • Managing incoming and outgoing communication including but limited to logging, distribution, filing and facilitating timely feedback.
  • Maintain a high level of confidentiality of the office documents /files to ensure availability and up to date & accurate information.
  • Handling administrative issues – responding to office correspondence in good time.

Job Requirements        

Qualification (Minimum)

  • Diploma in Secretarial/Office Administration.
  • A Degree in Business Management from a reputable Institution will be an added advantage.
  • 5 years working experience as Executive Assistant role in high level offices.
  • Proficiency in working with MS Excel/Spreadsheet.

Reports to the Senior Asset Services Officer-Heavy Maintenance & ensures efficient operation of a safe and secure technical record and archival system for timely distribution / provision of data for maintenance planning, reliability tracking and safe operation of Kenya airways and third-party aircraft that meets KQ and regulatory requirements.

Detailed Description        

Principal Accountabilities (Responsibility)

  • Operate a secure and safe technical record archiving and retrieval system where all completed maintenance records are stored as per the KCAA requirements.
  • Ensure the Designed and developed filing systems, business classification schemes asper KCAA and Kenya airways requirements.
  • Ensure that the archives management policies and framework in the management of records system are followed as per KCAA and Kenya airways requirements.
  • Plan and assign resources to meet the requirements of a sound and   acceptable technical records system.
  • Liaison with relevant Kenya airways departments/KCAA; manufactures, lessors on technical records matters; and irregularities to the appropriate department.
  • Ensure aircraft records are acceptable to airworthiness/owners’ requirements during delivery/redelivery of aircrafts, engines, landing gears, propellers, APU, OC/CM and life limited components.
  • Ensure all work processes/instructions and procedures are in place and understandable by the team to meet the requirements of a sound and acceptable technical records and archival system.
  • Ensure timely data capture and correctness of data entered in the aircraft maintenance system.
  • Ensure timely availability of accurate aircrafts/components hours and cycles to contracted parties such as owners, lessors, and maintenance providers.
  • Perform pre-delivery audit of incoming aircrafts maintenance records to confirm correctness and availability as per KCAA and Kenya Airways requirements
  • Aircraft, Engine and APU logbooks updating to ensure timely provision of accurate data and life limited parts to facilitate certificate of Airworthiness renewals, and engines/landing gears/APU maintenance and repairs.
  • Compile and provide accurate and up-to-date aircraft maintenance records during aircraft re-deliveries/sale.
  • Aircraft build and component life setup in Aircraft Maintenance Management system.
  • Maintenance data entry and control.

Job Requirements        
Qualification (Minimum)

  • Degree in either Information Science, Computer science, it’s equivalent   or Diploma in Information Science, Computer science, Record Management, or its equivalent with 2 years’ experience in records management.
  • Is currently up-to date on KQ Mandatory trainings.
  • Knowledge of KCAA requirements and Kenya Airways procedures.
  • Basic knowledge of aircraft regulatory requirements and maintenance documentation.
  • Basic knowledge on how to complete standard paperwork and records, filling in form of accurately and legibly.
  •  Aircraft documentation course.
  • 2years working experience.
